Job Description
Vail Butler is seeking a highly organized and customer-focused Concierge & Front Desk Manager to enhance our guests’ experience from pre-arrival to departure. This role ensures total guest satisfaction through seamless itinerary planning, reservation coordination, and exceptional communication. The ideal candidate will not only provide top-tier service but also contribute to the success of our growing business by fostering strong relationships with guests and local vendors.
Title: Concierge and Front Desk Manager
Status: 40+ hours per week FT/YR
Start date: June 1st, 2025
Salary: $65,000-$75,000
Location: hybrid in office, on location and work from home.
Key Responsibilities:
- Book guest activities, dining reservations, and concierge services while maintaining strong relationships with local vendors.
- Proactively communicate with guests via phone and messaging apps to address inquiries, coordinate bookings, and provide property details.
- Create and send customized itineraries, ensuring all reservations are confirmed before arrival.
- Serve as the main point of contact for guests, ensuring a smooth and enjoyable stay. Respond promptly and professionally to guest concerns, delegating property issues to the appropriate manager.
- Track monthly commissions and ensure timely payments from vendors. This will require exceptional Excel spreadsheet knowledge.
- Develop partnerships with local businesses to enhance guest experiences and generate Vail Butler referrals.
- Maintain open communication with the internal team regarding guest expectations and property details.
- Assist the Sales and Marketing Manager by handling incoming leads and inquiries.
- Work together with Sales and Marketing to meet seasonal goals and bonus incentives.
- Write and update email templates for concierge correspondence with guests
Qualifications:
- 3+ years of experience in hospitality and guest experience.
- College degree preferred.
- Exceptional communication and writing skills.
- Proficiency in Gmail Suite and other communication tools.
- Strong organizational skills with the ability to multitask in a fast-paced environment.
- A proactive and problem-solving mindset with a passion for delivering impeccable guest experiences.
- Ability to work flexible hours including evenings, weekends, and holidays.
